FreshRally is run by Reshapify, LLC, doing business as FreshRally ("FreshRally," "we," "us"). This policy explains what personal information we collect, how we use and share it, and the choices you have.
Clubs control their members' information
Clubs, associations, villages, and other organizations ("Clubs") use FreshRally to manage their memberships, events, email, websites, donations, and payments. When you join, renew, register, donate, sign a waiver, or appear in a Club's records, the Club decides what information it collects and how it's used. FreshRally processes that information on the Club's behalf, under our Data Processing Agreement with the Club.
If you're a member or participant and have a question or request about your information (for example, to see, correct, or delete it, or to stop receiving a Club's emails), please contact the Club. You can also update your own details in the Club's member portal and unsubscribe from any Club email. If you contact us instead, we'll pass your request to the Club.
The rest of this policy covers information FreshRally collects for its own purposes.
Information we collect
People who run Clubs on FreshRally. When you create, claim, or administer a Club account, we collect your name, email address, role, and the organization you represent; records of when and how you sign in; and messages you send us. FreshRally doesn't use passwords; we store passkey public keys if you add a passkey.
Billing. When a Club subscribes, Stripe collects its payment details. We receive the billing contact, plan, invoices, and payment status, but never full card or bank numbers.
Visitors to freshrally.com. Our hosting provider records technical information about requests, such as IP address, browser type, pages requested, and time, to deliver the site and protect it from abuse. We don't use advertising or analytics trackers. If you arrive through a link with campaign tags (for example, from one of our ads), your browser remembers those tags for up to 90 days. They stay in your browser and reach us only if you ask for a website preview, so we know which campaign brought you.
The website check. If you use our free website check, we read one public page of the website you enter and use the member count you provide to estimate costs. We don't keep the results unless you ask for a preview; then we keep the website address and the name and email you give us, so we can build the preview and contact you about it.
Clubs we may contact. To introduce FreshRally to organizations that may benefit from it, we collect information Clubs publish on their own public websites, such as the organization's name, website, membership pages, and its published contact email or phone number. We use it only to contact the organization about FreshRally and to prepare a preview of its site. You can ask us to stop at any time (see "Your choices").
How we use information
We use the information above to:
- provide, operate, and support FreshRally, including signing people in and sending service emails such as sign-in codes, receipts, and important notices;
- bill Clubs for their subscriptions;
- keep FreshRally secure and prevent fraud and abuse;
- understand how FreshRally is used, through aggregated statistics, so we can improve it;
- contact Clubs and the people who run them about FreshRally, including occasional product news, which you can opt out of at any time; and
- comply with the law and enforce our terms.
We don't sell personal information, share it for targeted advertising, or use it to train artificial intelligence models.
Cookies
FreshRally uses only cookies needed for the site to work: one that keeps you signed in, and one that remembers which organization you last opened so we can take you back to it. We don't use advertising, analytics, or social media cookies, so there's nothing to opt out of. Clubs' websites on FreshRally use the same essential cookies.
How we share information
We share personal information only:
- with service providers who help us run FreshRally: Cloudflare (hosting, storage, email delivery, and security), Neon (database), and Stripe (payments and billing). They may use it only to provide their services to us;
- with the Club concerned, for information about its own account and Administrators;
- with integrations a Club connects, such as Zapier, at the Club's direction;
- when required by law or to protect the rights, safety, and security of FreshRally, Clubs, members, or the public; and
- in a business transfer, such as a merger or acquisition, to the successor, who must honor this policy.
How long we keep information
We keep account information while the Club's account is open and for up to 90 days after it closes (backups included), except for records we must keep longer for tax and accounting, such as invoices. We keep website-check preview requests and prospect information for up to two years from our last contact, or until you ask us to delete them. Request logs are kept for a short period for security.
Your choices and rights
- Email: Every marketing email from us has an unsubscribe link. Service emails (such as sign-in codes and receipts) are part of using FreshRally.
- Prospects: If your organization doesn't want to hear from us, email hello@freshrally.com and we'll stop and delete the information we gathered.
- Access, correction, and deletion: Depending on where you live, you may have the right to know what personal information we hold about you, to get a copy, to correct it, or to delete it. U.S. state privacy laws may give you additional rights; because we don't sell or share personal information for advertising, there is nothing to opt out of. We won't treat you differently for exercising your rights.
- Canada: You may request access to and correction of your personal information under PIPEDA. If you're not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada.
To make a request, email hello@freshrally.com. We'll verify the request and respond within the time the law requires. You may use an authorized agent where the law allows. For information a Club controls, we'll refer you to the Club.
Children
FreshRally is built for organizations, not children, and we don't knowingly collect personal information directly from children under 13. Clubs may record information about minors, such as family members on a household membership, with a parent's or guardian's involvement, under their agreement with us. If you believe a child has given us information directly, contact us and we'll delete it.
Security
We protect information with encryption in transit and at rest, strict separation between Clubs' data, sign-in without passwords, role-based access for Club Administrators, and an audit trail of changes. No system is perfectly secure, but we work to protect your information and will notify affected Clubs of any breach as our agreements and the law require.
Where information is stored
FreshRally stores information in the United States. Pages are delivered through Cloudflare's global network, so information may be briefly processed in other countries while in transit. If you're outside the United States, your information will be transferred to the United States and stored there.
Changes to this policy
We'll post any changes here and update the date at the top. If changes are significant, we'll notify Clubs by email before they take effect.
